Logistics software for shippers, from supplier ASN to proof of delivery
Kargentra is logistics software for shippers and manufacturers that connects the purchase orders your suppliers ship against, the customer orders you promise, the warehouse that picks them and the freight that moves them. Planners, dispatchers, the dock and finance work on one record, so a date, a quantity or a delivery is entered once and read everywhere.

What gets in the way today
Promises made on yesterday’s stock
Customer service commits delivery dates from an inventory export that was already out of date when it was pulled. When the warehouse cannot pick, the customer is often the first to find out.
Inbound supply is invisible until it lands
Supplier shipments arrive as emails and PDFs. Shortages, wrong items and damage are discovered at the dock, after production has already scheduled around the quantity on the purchase order.
Freight bought one email at a time
Planners re-key orders into carrier websites, chase quotes by phone and lose the reason a carrier was chosen. A rejected tender can sit unanswered until the pickup slot has gone.
One date field doing five jobs
Requested, promised, estimated and actual delivery times overwrite each other in the same column. On-time performance turns into an argument about which date counts.
Delivered, but nobody can bill it
Proof of delivery sits on a driver’s phone or in a carrier portal. Finance cannot tell which deliveries are ready to invoice, or whether a carrier bill matches what was agreed.
Exceptions found by the customer
A late truck or a short receipt is discovered when the customer calls. Nobody clearly owns the problem, so three people chase it, and the cause is never recorded for next time.
How Kargentra changes the work
Promises from real availability
Order Management nets on-hand, allocated, held and committed stock into a promiseable quantity for every line. Operators propose in full, or part now and the rest later, and the customer accepts or asks for a different date.
- Requested, proposed and committed stored as separate facts
- Every order ends Clear, Review required or Blocked
- Holds stop new steps without unwinding work under way
Inbound supply tied to receipt truth
Suppliers acknowledge purchase orders, propose changes and send advance shipping notices in their own portal. The warehouse receives against them, records every discrepancy, and the supplier sees ordered, declared and received on the same line.
- Lots, expiry and handling units on the notice
- Dock time requested by the supplier, confirmed by the yard
- The warehouse owns every discrepancy resolution
Transport planning that explains itself
The planner sees residual freight, runs the optimiser and compares up to three ranked plans on distance, drive time, capacity and rate. Every refused option carries its reason, and nothing is committed until the planner confirms.
Carrier sourcing with a routing guide
Compare your private fleet, contracted rates and genuine spot quotes for the same movement without mixing price bases. When a tender is rejected or lapses, the per-lane routing guide offers the next eligible carrier within a not-to-exceed cap.
- A carrier that declined is never offered the same load again
- An exhausted guide holds with a named reason
Release and live execution, governed
Every trip reads Ready, Blocked or needing approval, with the failing checks named: documents, insurance, driver hours, equipment and staging. Once released, positions carry their source and freshness, and delivery risk against the commitment opens an exception case with an owner.
- Release kept separate from assignment and driver acknowledgement
- Recovery verified by the resulting state, not by a button
Delivery to billing, on the same record
Each delivered movement moves from evidence incomplete to billing ready to Finance handoff, with its blockers named in plain language. Carrier bills are matched against the tendered expectation, and a variance opens a dispute instead of a quiet write-off.
Choose who moves it, with every option on the table
For each movement the planner sees whether the private fleet can take it, which contracted carriers are eligible and what genuine spot quotes say, side by side. Price bases are never blended, and quotes in different currencies are flagged rather than summed.
- Own fleet shows eligible drivers and vehicles for the window
- Contracted rate cards and spot quotes stay distinct
- An award needs a reason, and losing quotes are kept as history
- Carrier insurance and qualification are checked again at dispatch

Know what your suppliers shipped before the truck reaches the gate
A supplier sends its advance shipping notice from your purchase order, with lots, expiry and handling units. Receiving matches ordered, expected and received quantities, and any shortage, excess, wrong item or damage is recorded on the line the supplier can see.
- The notice locks once receiving starts, so the declaration cannot drift
- Discrepancies are visible to the supplier, resolved by your warehouse
- Supplier performance is built from recorded receipts, not self-reporting

Close each delivery to billing with its blockers named
A delivered movement is not yet a billable one. The close queue shows each delivery at exactly one stage, from evidence incomplete to Finance handoff, and names what is missing in the owner’s words: an unaccepted proof of delivery, an open exception, a charge without a rate.
- Sell, expected buy, actual cost and accessorials kept as separate facts
- Evidence complete is never treated as billing ready
- A missing amount reads “Not recorded”, never zero

Shippers & Manufacturers: frequently asked questions
Why do shippers need a TMS?
A transportation management system replaces email, spreadsheets and carrier websites with one place to plan loads, choose carriers, release dispatch and follow each delivery. For a shipper the larger gain is connection: in Kargentra the TMS reads the committed date from the order and the staging state from the warehouse, and hands evidence-backed deliveries to Finance, so freight decisions are made on the same facts the rest of the business uses.
Can manufacturers manage inbound supplier freight?
Yes. Suppliers answer your purchase orders and send advance shipping notices through the Supplier Portal, including lots, expiry and handling units. They request dock time, which the yard confirms. Receiving matches ordered, expected and received quantities and records every discrepancy against the line, so production planning works from what actually arrived rather than what the purchase order said.
How quickly can a shipper go live?
It depends on scope, so Kargentra shows readiness rather than promising a date. Onboarding readiness is derived from live facts: package, process route, users and roles, templates and each connector step, with every blocker linked to the place to fix it. You can start with the modules that solve today’s problem, then add the next one on the same record without migrating data.
Can Kargentra run alongside our ERP?
Yes. Your ERP can create, change and cancel orders machine to machine under its own identity, and it receives signed webhooks as each order moves through its lifecycle. Connector Hub runs ERP connections with versioned mappings, exchange history and governed replay. Process Composer records which stages your ERP owns, so Kargentra never marks an externally owned step complete on its own.
How does Kargentra keep delivery dates honest?
It stores requested, proposed, committed, estimated and actual times as separate facts, and the database allows only one current commitment per order. Delivery risk is calculated against the commitment, positions are labelled with their source and freshness, and on-time figures say which date they used. Nobody can quietly move the goalposts by editing a single date field.
Do we have to replace our warehouse system?
No. Kargentra runs connected to its own Warehouse Management or alongside an external warehouse system. When another system owns warehouse execution, the order shows that ownership and its freshness instead of assuming the goods are ready, and the process route makes that stage external so planning and dispatch still read accurate status.
